What it takes off the desk

Each of these came from watching one office actually run. None of it is speculative.

The 1099 accountant

Vendor and owner 1099 worksheets built from the ledger — bills paid, deduplicated across instalments, and rent received rather than billed. Each figure traces back to a Buildium id, and every payee missing a tax ID is flagged before January rather than during it.

The office this was built for was paying about $6,000 a year to have that assembled by hand.

A separate rent-comparison subscription

Market rent for every property, refreshed weekly and stored, with the range and the sample size shown rather than a single confident number. Where there are too few comparables it says so instead of guessing.

It currently flags 12 homes letting below their local range, worth $21,612 a year.

Owners open their own documents. The whole repair history, with the bills attached, scoped so each owner sees their properties and nothing else.

That scoping is enforced in the database, not the interface, and tested on every release.

Building a handover pack by hand

Systems, ages, repair history and invoices print as a single PDF for a buyer or a new manager — without any of the owner’s financial detail.

Useful the day an owner sells, which is also the day they decide whether to recommend you.

How it sits with what you have

It reads Buildium. It never writes to it.

The sync runs every morning and pulls properties, units, owners, work orders, vendors, bills and files. Your accounting system stays the system of record and nothing here can change it — the API credentials it uses are read-only by design, not by convention.

The gaps are visible rather than papered over.

Where a system has no recorded install date, it says so and gives its reasoning instead of inventing an age. Where a repair has no invoice, it is not quietly counted as free. A portal that guesses is one an owner catches out once and never trusts again.

Owners set their own passwords.

They ask for a link, choose a password and are in. No credentials for your office to hand out, read down a phone, or keep in a spreadsheet.

Where it actually is.

In daily use on one management company’s portfolio — 112 properties, 86 owners, history back to 2017. It is not a mature product with a hundred customers, and pretending otherwise would be found out in the first week. If that is interesting rather than off-putting, it is worth a conversation.
